As an AR/AP Specialist at The Jeffcoat Firm, you'll maintain precise financial records in QuickBooks Online, accurately recording client expenses and credit transactions. You will also reconcile financial data, monitoring accounts for outstanding invoices, and collaborating to resolve discrepancies. This position is responsible for processing invoices, reconciling vendor statements, and contributing to improving accounting processes while ensuring compliance.
What you’ll be doing:
- Maintain accurate financial records and update accounting systems with daily transactions using QuickBooks Online.
- Record all client expenses to the accurate accounts and correctly record credit card expenses.
- Reconcile and verify financial data, such as bank statements, ledgers, and accounts payable/receivable records.
- Monitor bank activity, match expenses and payments to proper accounts.
- Monitor accounts for unreceived invoices and accrue unentered expenses.
- Assist in month-end and year-end closing procedures, including reconciling accounts and preparing adjusting entries.
- Collaborate with the Staff Accountant and other departments to resolve any discrepancies or issues related to financial transactions.
- Responsible for supporting accounts payable processes, reconciling accounts, and maintaining strong vendor relationships.
- Process accounts payable invoices accurately and efficiently, ensuring adherence to company policies and procedures.
- Reconcile vendor statements and resolve any discrepancies in a timely manner.
- Collaborate with internal teams to obtain necessary approvals and documentation for invoice processing.
- Prepare and maintain accurate accounts payable aging reports.
- Process and record bank deposits into correct entities/accounts.
- Assist in the implementation and improvement of accounting processes and procedures.
- Stay updated on accounting regulations and best practices to ensure compliance.
- Attends required morning and monthly meetings.
- Performs other job duties and responsibilities as assigned.
Who you are:
- High school diploma or equivalent.
- Minimum of 2-years experience in AP/AR or similar role.
- Strong knowledge of basic accounting principles and procedures.
- Proficiency in using accounting software (QuickBooks Online), strong Excel skills.
- Excellent attention to detail and accuracy in data entry and record keeping.
- Strong interpersonal, communication and writing skills.
- Proficiency in Microsoft Office.
