Primary Responsibilities:
Summary:
Clark Hill PLC is seeking an Administrative Assistant for its Boulder, CO office location. This position provides administrative support to Attorneys, Paralegals, Secretaries, Functional Managers and or Executives in the Firm. Individuals in this position are fully capable in clerical/administrative responsibilities and proficient in technical platforms necessary for the position. This position will also require reception responsibilities and is part of the CHART (Clark Hill Administrative Resources Team).
 
Primary Responsibilities:
  • Enters conflict information for the purpose of running conflict checks for new clients.
  • Assists with opening new matters and attorney monthly billing requirements.
  • Schedules appointments, arranges travel accommodations and itineraries.
  • Manages calendars and assists with expense reporting.
  • Writes and distributes emails, correspondence memos, letters and forms, both internal and external to the Firm.
  • Maintains an accurate and efficient filing system.
  • Updates and maintains office policies and procedures.
  • Manages the day-to-day operations of the office reception desk and answer all incoming phone calls in a timely manner, route calls, and take messages as needed or required.
  • Maintains and oversees the scheduling of all conference room needs and ensures that the room is prepared as requested and on schedule.
  • Greets and provides general support to clients and visitors and announces their presence in an efficient manner.
  • Orders and maintains office and lounge supplies.
  • Logs and transmits incoming accounts payable and trust checks.
  • Maintains the office phone directory and other internal directories and contact lists.
  • Submits and handle maintenance requests and serves as a contact for building maintenance personnel.
  • Trains on various technology applications used across the Firm as needed.
  • Performs other duties or tasks as assigned or requested by the Office Manager, Attorneys, Paralegals, or Secretaries.
Experience/Education
  • High school diploma or GED equivalent required.
  • One to two years of successful office administrative work experience.
  • Previous experience working in a law-firm environment, preferred.
  • High level of organizational skills, attention to detail and the ability to multi-task.
  • Effective verbal, non-verbal and written communication skills.
  • Highly competent in MS Office applications and other legal applications as required.
  • Prior, detailed experience utilizing a multi-line phone system.
  • High level customer service skills, and the ability to effectively communicate and interact with clients, guests, visitors and vendors.
  • Good teamwork and collaboration capabilities.
  • Exhibits initiative and strong personal resilience.
  • Willingness to learn new skills and responsibilities.
Candidates must be able to work 8:00 am – 5:00 pm Monday – Friday with flexibility and/or occasional overtime.
This is a full-time position with a schedule of 40 hours per week. The salary range for this position at the time of posting is $24.00 to $26.00 per hour. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data.
