Section:             Procurement and Automotive Unit/Office Services Section/Operations Division


Class:                 Administrative Assistant I


Location:            Harrisburg


Telework:           This position will report to the headquartered location a minimum of 2 days per week.  You may have the opportunity to telework the remainder of the week, if desired and based on business need.  


Position Type:     Full-time, Non-civil service, Union


Work Hours:       8:30 – 5:00


Salary Range:     Starting at $44,030, commensurate with experience 


Basic Function

This position will assist the Procurement and Automotive Unit in an administrative capacity and will be responsible for assisting the Records Retention Coordinator with various responsibilities.


Examples Of Duties


  • Assists the automotive unit in transporting vehicles:
    • Transports vehicles to Office of Attorney General (OAG) offices throughout the state
    • Transports vehicles for maintenance
  • Assists with the phone responsibilities of the Office Services Section
  • Reconciles the monthly EZPass invoices to be sent for payment:
    • Validates information from the PA Turnpike Commission and the OAG Agile Fleet System
    • Requires coding from multiple OAG funding sources
  • Manages inventory for OAG specific items:
    • Monitors inventory quantities
    • Recognizes when items need to be replenished
    • Distributes inventory items when orders come in
    • Works with the OAG mail room to send inventory items to other offices
  • Assists in setting up conference rooms within Strawberry Square
  • Assists the Records Retention Coordinator with the following responsibilities:
    • Properly and promptly addresses requests for sending records to and retrieving records from the State Records Center
    • Ensures the inventory sheet corresponds with the number of records boxes received for shipment
    • Coordinates the transfer of records from OAG regional offices to the central office
    • Coordinates the transfer of appropriate records to the State Records Center and State Archives
    • Communicates with staff from other organizations pertaining to the shipment of records
    • Transports and prepares records boxes for shipment from different areas within the OAG
  • Other duties as assigned by the Procurement and Automotive Manager

Minimum Experience and Training


  • Such training as may have been gained through graduation from a four year college or university OR
  • Any equivalent combination of work experience and/or training

Preferred Knowledge, Skills, and Abilities


  • Ability to lift 50 pounds
  • The ability to operate a motor vehicle and the possession of a valid motor vehicle operator's license
