We're searching for a trustworthy, high-energy, flexible administrative assistant to provide clerical support. You will be responsible for calendaring deadlines, managing emails from vendors and clients, paying invoices, drafting correspondence and scheduling for the owner and the firm. Applicants should possess excellent communication skills, excellent typing, writing and proofreading skills, and have some background in customer service. Strong intuition and common sense a must!   • Manage sensitive and confidential company and client information with care and professionalism.
  • Review the daily calendar and schedule with the manager.
  • Coordinate with billing specialist, bookkeeper, owner, and vendors as needed.
  • Make payments to vendors and help track and control spending (Bookkeeper and CPA provide data).
  • Schedule mediation and arbitrations, coordinating between clients, law firms, and the courts.
  • Schedule home appraisals coordinating between clients, vendors, and lawyers.
  • Make travel arrangements for staff members.
  • Read, review, organize, and summarize daily emails for the owner.
  • Draft and send communication and correspondence on behalf of the owner,
  • Proofread documents for the owner and the staff.


  • This position works in the office full time time, with occasional work-from-home opportunities.
  • Stable work history without job hopping.
  • Excellent references are required.
  • High school diploma required. Some college preferred.
  • Minimum of 50 wpm accurate type.
  • Excellent writing, spelling, grammar, punctuation, and proofreading.
  • Old fashion work ethic - arrives early, has little to no missed time from work, is reliable, and is professional.
  • Able to manage change, growth, and automation.
  • Expert organization skills and ability to work with established systems and processes.
  • Ability to work with type A executives and managers.
