Position Details

Job Title: Budget Assistant I

Reports to: Chief Financial Officer

Level: Entry/Union/Full-Time

Salary:

Primary Function: Accounts payable and receivable processing; serves as a liaison between the State�s Attorney�s Office and other agencies or financial institutions as it relates to the day-to-day operations.

Working Environment: Hours: Monday � Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Process invoices within EBS accounting system
  • Prepare checks for issuance from bank accounts held on-site (access database); includes, but not limited to, Petty Cash and Escrow Accounts
  • Process reimbursements and charges to the appropriate budgetary accounts
  • Process credits to budget accounts
  • Prepare payment vouchers
  • Provide front desk coverage relief for breaks and lunch as needed
  • Perform additional duties and responsibilities as needed or required
  • Interacts regularly with State�s Attorney�s Office employees
  • Interacts regularly with other Cook County agencies
  • Interacts regularly with outside agencies and vendors
  • Regular access to confidential information
  • Perform other duties as assigned

Qualifications:

Required:

  • The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.
  • Three years direct and significant experience working with account ledgers, bank reconciliations and spreadsheets will be considered in lieu of a Bachelor�s degree. Proficiency in Microsoft applications required.
  • Proficiency in SharePoint.

Preferred:

  • Bachelor�s degree in Finance, Accounting, Business Administration, or related field.
  • Working Knowledge of the EBS system
