The Position: 


The Case Intake Coordinator (CIC) is responsible for thoroughly vetting new and existing case expert requests, reviewing expert qualifications, and identifying and offering experts. The CIC role will handle all incoming expert requests as well as follow up and respond to all existing leads within their portfolio of cases. The CIC will track case counts and assign new cases to Case Managers. Additionally, the CIC will also be responsible for inputting all relevant case details for the Case Manager at the beginning of a case. The successful candidate will be motivated, creative, analytical, efficient, have the ability to exercise independent judgment and discretion, and possess superior organizational and relationship management skills.


Essential Duties and Responsibilities:

  •   Source experts on all leads coming in through the sales team and case management team.
  • Source experts on all existing cases that have been previously assigned to a Case Manager.
  • Re-identify experts on pending leads and existing matters if case falls outside of designated time frame.
  • Create and remain responsible for opening all pending leads in Clio and completing multiple data entry fields based on an initial scoping call and emails exchanged with clients.
  • The CIC will contact clients within a 1–2-hour timeframe to scope the case.
  • The CIC will review all relevant information for each expert specialty requested, research all appropriate experts, provide appropriate CVs and fee schedules to clients, and ensure clients are aware of any disclosures specific to the experts offered, as needed.
  • Verify expert availability once the expert has been selected and introduce a case manager who will be handling the case based on client requests, current case counts, and PTO schedules.
  • The CIC will follow up on every pending matter previously worked on with no activity in the last 7 days.
  • The CIC will be responsible for tracking expert and expert specialty offered on each lead and identifying opportunities where new expert CVs can be provided.
  • Run internal conflicts check for each new lead to include every individual being reviewed.
  • Educate the expert as needed on roles, responsibilities, client expectations, and IMS | Juris Medicus procedures in a case engagement. Educate new and existing clients on future expectations with IMS | Juris Medicus to ensure a better understanding of the expert and Case Management roles.
  • Work with the Case Intake Supervisor to provide feedback on any new discussion items that arise causing a need for action including but not limited to guide additions/edits, new legal rulings, and expert updates.
  • Attend and participate in monthly audit meetings, monthly ride-a-long meetings, and monthly team meetings for positive and constructive feedback along with company and department updates.
  • Other duties as assigned.



Requirements

 

Education and/or Experience: 

  • Highly qualified Legal Secretary or Legal Assistant.
  • 3 years of experience as a legal professional with personal injury experience. 

Computer Skills:

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).
  • Knowledge of legal case management software and platforms is a plus.

Other Skills and Abilities: 

  • Ability to establish and maintain positive relationships while delivering top-notch customer service.
  • Familiarity with the legal system and law practices. Knowledge of or willingness to learn the discovery process and how it relates to experts in each state. Working knowledge of the Federal Rules of Civil Procedure as it relates to experts in litigation.
  • Knowledge of the medical field and medical technology is an added advantage.
  • Demonstrates initiative, follow-through, and the ability to troubleshoot and solve problems creatively, effectively, and efficiently.
  • Highly organized multitasker who works well in a fast-paced environment.
  • Excellent written and verbal communication skills with attention to detail.
  • Self-directed and able to work with minimal supervision.
  • Ability to prioritize and organize work to achieve position objectives and goals.
  • Ability to quickly adapt to company and department changes. 
  • Willingness to be a team player and assist with team projects and needs.
