Burr & Forman LLP has an immediate opening in our Birmingham, AL office for a full-time Case Support Specialist/Backup Receptionist. The successful candidate will serve as primary backup receptionist daily and will assist other legal and administrative team members as needed. KEY CONTRIBUTIONS
- Serve as backup receptionist daily for breaks, lunch hour and closing; and serve as receptionist all day in absence of primary receptionist.
- Handle all receptionist duties including screening incoming calls, clients, and visitors; greeting and directing guests to appropriate destination; scheduling conference room meetings; and coordinating video conferencing.
- Schedule catering and events as needed for meetings, conferences and/or depositions.
- Interact with clients as required.
- Assist in coordinating Lunchbox program for the Birmingham office.
- Assist in document preparation for attorney licensing and state applications for same.
- Assist in documenting CLE credits for attorneys.
- Read, scan, sort, and classify incoming material, mail, and information according to guidelines.
- Draft, type, scan correspondence, office memos, documents, emails, and other printed materials.
- Assist attorneys and team members with preparation for meetings, hearings, depositions, and trial.
- Assist and/or prepare and process legal documents such as subpoenas, motions, and agreements; transcribe attorney dictation from transcription equipment.
- Assist in production of documents to opposing counsel.
- Assign and record or stamp identification numbers or codes to index documents for filing.
- Scan and label documents into firm’s document management system.
- Enter and/or edit time and billing of attorneys and other timekeepers.
- Enter and/or edit expenses of attorneys; organize receipts and prepare expense reports and requests for reimbursement.
- Find, retrieve, add, and store file material and records.
- Open and close new client matters.
- Assist firm administration with tasks as requested.
- Work overtime as requested.
- Other essential duties as assigned.
THE ESSENTIALS
- A high school diploma or equivalent and relevant work experience required; a college degree is preferred.
- Professional appearance and demeanor with commitment to providing exceptional client-service.
- Highly organized, detail-orientated, proactive with a desire to take ownership.
- Proficient with Microsoft Word and Outlook. Proficiency in MS Excel is a plus.
- Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations.
- Strong verbal and written communication skills.
- Must be able to lift and/or transport materials weighing up to 25 pounds.
- Some overtime required.
