Clark Hill PLC is seeking to hire a Cash Application and Trust Specialist in its Pittsburgh office.  This position reports to the Cash Application & Trust Manager and is responsible for processing transactions regarding client retainer, settlement or advance payments that are held in jurisdictionally established bank accounts to support the firm’s attorneys and activities.

Essential Job Functions:

Client Trust

Responsibilities


  • Monitor the various jurisdictionally established client trust bank accounts for account activity including incoming wires and ACH payments, returned items (i.e. NSF checks) and other debits or credits to the accounts

  • Balance bank account activity against trust entries into Elite to ensure that each trust ledger reconciles to bank account balance.  Assist with researching and resolving outstanding bank reconciliation items as determined by Accounting team that is responsible for bank account reconciliations

  • Post daily client receipts (credit card payments, checks, money orders, ACH, wire or other forms of deposit) for incoming retainer, trust deposits or settlements to the appropriate matters within Elite

  • Prepare bank deposits for trust check or money order receipts – responsible for remote deposit of these items in a timely manner utilizing check scanning equipment

  • Research and analyze client trust ledgers to answer inquiries from attorneys and other firm employees including the collections and billing teams

  • Review client trust account disbursement requests to pay Clark Hill invoices or to pay out to client or third parties on the client’s behalf (settlements).  Ensure appropriate levels of approval are secured and documented for disbursements of either check, ACH or wire transfer

  • Prepare documentation to support the utilization of client trust funds to pay Clark Hill invoices in coordination with billing attorney, legal assistants, collections and billing teams as needed

  • Process credit card transactions in third party credit card site ensuring that the client’s credit card details are redacted and then destroyed. The third party site tokenizes and stores encrypted client credit card data

  • Ensure trust receipt and disbursement posting batches are scanned and saved on accounting shared file folder so that the batch and supporting details can be researched as needed in the future.  The original document should be filed in appropriate record storage box for long term storage off-site.

  • Reconcile client accounts as requested

  • Ensure confidentiality of client-sensitive information is maintained at all times


 

Other


  • Generate and file a copy of month end bank activity reports for each trust bank account

  • Coordinate record retention and destruction of files as appropriate



  • Develop and understand the impact of each of the trust entries on the attorney and on a client’s record within Elite and the flow of funds between the client trust accounts to the appropriate jurisdictional operating accounts

  • Working knowledge of basic audit methodologies is desired to efficiently identify, research and resolve complex transactions

  • Assist with the preparation of the end of day cash sheet for the firm’s members as assigned


Minimum Requirements:


  • Associates degree required from an accredited school or university in Accounting, Business or a related discipline with 3-5 years cash application, accounts payable or trust experience in a legal setting or B.S. degree in Accounting, Business or related discipline

  • High level of competency with computer software including Microsoft Office products

  • Excellent analytical and problem-solving skills

  • Ability to effectively work independently and as part of a team

  • Ability to utilize Excel (including VLookup and subtotals) for developing posting listing for larger and more complex application

  • High level organization skills and detail orientation, with the ability to manage multiple tasks simultaneously

  • Excellent communication skills, both verbal and written, and the ability to work effectively with employees and members at all levels of the firm.


The salary range at the time of posting is $21.63 - $26.44 hourly, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data.  This position is eligible for an annual discretionary bonus.  In addition, Clark Hill offers employees the ability to participate in health insurance with optional HSA/FSA, short term disability, long term disability, dental insurance, vision care, life insurance, 401K, vacation, sick time, parking/public transportation allowance, and an employee assistance program.
