Position Summary:

The Client Care Manager at Witherite Law Group is responsible for leading and mentoring a team of Client Care Coordinators to ensure excellent client service and efficient case management. This role involves overseeing the coordination of client inquiries, scheduling, and case updates, while addressing escalated client concerns in a professional and timely manner. The Manager will collaborate with attorneys and other departments to ensure smooth communication and coordination between clients and the litigation team. Additionally, the position requires training new employees, managing client care knowledge, and maintaining accurate records of client interactions and case progress.

 

Key Responsibilities: 

  • Manage and mentor a team of Client Care Coordinators to ensure timely and efficient handling of client inquiries, scheduling, and case updates.  
  • Serve as the point of contact for escalated client issues, ensuring they are resolved in a professional and timely manner.  
  • Review FileVine tasks daily to determine what client appointments need to be made. Triage based on urgency.
  • Educates new employees in New Hire Orientation and New Hire Training on a variety of appropriate medical knowledge areas  
  • Assesses department needs to determine client care knowledge training requirements 
  • Collaborate with attorneys and other departments to ensure smooth coordination between clients and the litigation team.  
  • Maintain accurate records of client interactions, case progress, and service feedback. 
  • Attend transition huddles with pre-litigation and litigation teams and verify treatment status and verify records received vs needed 

 

Qualifications

  • Associate degree required; Bachelor's degree preferred  
  • Medical Records review experience desired    
  • Able to work under pressure and adhere to deadlines  
  • Perform other duties and responsibilities as requested by leadership 
  • Law firm experience a plus  

 

Physical Requirements

  • Office environment with normal business hours necessary to satisfactorily perform job functions.  
  • Stand/Sit – Must be able to remain in a stationary position up to 50% of the time. 
  • Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. 
  • Use of hands/fingers to handle or feel – constantly operates a computer and other office machinery such as a copy machine/printer. 
  • Climbs stairs – May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.   
  • Carry weight/lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
