Hooks, Meng & Clement (HMC) is seeking a dynamic and experienced Department Manager to lead our Document Management and Support Department. The ideal candidate will have proven leadership in managing the document lifecycle within a legal setting, from intake and digitization to maintenance, compliance, and archiving. This role requires a strategic thinker who can optimize processes, maintain accuracy and efficiency, and lead diverse teams to achieve exceptional results.

  • Strategic Planning & Execution: Lead the development and implementation of strategies that ensure efficient document management processes, supporting the firm’s legal activities.
  • Document Intake & Digitization: Oversee the intake of new cases, digitization of physical documents, and the maintenance and organization of digital files.
  • Court Document Preparation & Compliance: Manage the preparation of court documents and ensure compliance with retention policies and legal standards.
  • Team Leadership & Continuous Improvement: Foster a culture of innovation, continuous improvement, and high performance, driving initiatives to enhance productivity, data integrity, and client service.
  • Cross-Department Collaboration: Work closely with other department leaders to ensure seamless integration of the document management system with the firm’s broader operations, improving workflows and information access.
  • Resource Management: Oversee budgeting, staff, and technology resources for the department, ensuring alignment with firm objectives and case demands.
  • Policy & Procedure Development: Develop and maintain policies and procedures that adhere to legal standards and best practices in document management.
  • Bachelor’s degree in Business Administration, Information Management, Legal Studies, or a related field. An advanced degree is preferred.
  • A minimum of 5 years of experience in document management or related roles within a legal or professional services environment, with at least 3 years in a leadership capacity.
  • Strong understanding of the legal document lifecycle, digital document management systems (experience with Filevine is a plus), and compliance requirements.
  • Proven leadership, organizational, and communication skills, with a track record of managing high-performing teams.
  • Demonstrated ability to drive process improvements, manage complex projects, and deliver results in a fast-paced environment.
