The Facilities Coordinator is responsible for assisting the Regional Facilities & Operations Manager with the day-to-day operations, office moves, facilities administration, and support in the assigned office. This position also works closely with the Regional Office Administrator, Regional Hospitality Manager, and the outsourced team to ensure that spaces are ready for meetings and other events.

Essential Duties and Responsibilities: 

  • Ensure the facility is well-maintained by performing walkthroughs and reviewing office space for general repair and maintenance needs (e.g., lighting repairs, carpet stains, wall damage, leaks, temperatures adjustments, security).

  • Coordinate, schedule, and complete office moves and office modifications by working with various departments (IT, Records, Maintenance, etc.).

  • Support regular facilities projects and efforts, such as managing internal moves, office improvements, updating floor plans, and reporting corresponding changes to the Workday team.

  • Manage and foster relationships with internal clients by responding to inquiries and requests in a timely manner.

  • Maintain security badges, including activation and deactivation, tracking, auditing, and pulling daily reports.

  • Support facilities needs related to employee onboarding and offboarding, such as assigning workspaces, updating building access cards, and packing personal items.

  • Coordinate with building security to schedule onsite vendors and contractors for facilities-related services, such as repairs, inspections, or regular maintenance of equipment.

  • Submit and track facilities-related vendor invoices via Chrome River.

  • Oversee storage and furniture inventory.

  • Assist with ordering office, facility, and safety supplies.

  • Support emergency evacuation teams and programs, including serving as a floor fire warden and participating in office emergency drills.

  • Provide support during office emergencies (e.g., personal medical needs, building evacuations), ensuring all onsite employees have the required support and direction.

  • Assist with monthly AED checks.

  • May require occasional overtime and schedule adjustments.

Knowledge, Skills, and Abilities:

  • Good understanding of building and safety operations.

  • Excellent attention to detail and accuracy in a deadline-driven environment.

  • Ability to work independently and in a team setting.

  • Ability to establish and maintain effective working relationships.

  • Proficient in Microsoft Office suite.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills and the ability to work and communicate effectively with all levels of law firm personnel, including partners and administrative managers.

  • Superior customer service skills and the ability to solve problems through collaboration.

  • Ability to multi-task, meet deadlines, and shift priorities quickly.

  • Requires manual dexterity and physical mobility, including the ability to move frequently as needed.

  • Ability to perform physical activities that require considerable use of the whole body, such as climbing, carrying, bending, lifting, pulling, pushing, balancing, stooping, overhead reaching, handling heavy objects (maximum 50 lbs.), walking, and standing for long periods.

Education and/or Experience: 

  • Bachelor’s degree in a related field, or any combination of training, education, and experience that demonstrates the ability to perform the duties of the position.

  • Minimum of two (2) years of experience working in facilities; education or training in office facilities or interior design may be considered.

  • Facilities certifications or participation in facilities organizations is a plus.

Hiring Salary Range:
