If you enjoy working with team members whose defining characteristics are exceptional client service, initiative, professionalism, responsiveness, and adaptability, you may be the person we are seeking to join our Human Resources department in our Palo Alto office as a Human Resources Coordinator.

 

For both lawyers and business services staff, provides support and coordinates various day-to-day HR operations of the Palo Alto-HR department and the US HR department [time split 50/50] such as law student recruitment, summer associate program activities, onboarding new hires and separations, and general HR transactions and processes.









Responsibilities






Essential Functions:

 

            Northern California

  • Summer Program
    • Coordinates events, training sessions, mentoring initiatives, feedback collection, oral review meetings, onboarding and separations, expenses, etc.
    • Manages selection of venues and handling of vendor contracts for venue, transportation, etc., within budget parameters
    • Coordinates events between the NorCal Summer Program and DE&I team
    • Supports preparations for Committee meetings to review status of Summer Program and final offer decisions, etc.

 

  • On-Campus Recruitment
    • Supports administrative processes such as law school registration, distribution of interviewer materials, candidate scheduling and LawCruit data entry, collection of interviewer feedback, candidate communications, etc.
    • Represents the Firm at law school “Hospitality or “Sell” events for students and troubleshoots any logistical or student issues that arise
    • Provides Hiring Committee meeting support including candidate packets for consideration for offers, candidate information on offers extended/accepted, candidates pending, etc., diversity data, tracks decisions and updates records
    • Provides support for issuing offer letters

 

  • First Year Associate
    • Tracks and supports ongoing communications and processes pre-arrival such as onboarding information, bar stipend, etc.
    • Provides support for New Lawyer Orientation and First Year Fast Track activities
    • Facilitates ongoing mentoring initiatives

 

  • General HR
    • Provides support for standard HR transactions for separations, onboarding, part-time, etc.
    • Handles initiatives in support of Firm’s diversity objectives
    • Supports Clerkship recruiting initiatives and events with other offices
    • Communicates Firm policies
    • Maintains HR recordkeeping
    • Prepares HR reports from PeopleSoft or LawCruit
    • Provides assistance and training to junior employees
    • Supports general HR program/policy development, administration, and compliance employee hiring, onboarding, termination, and records maintenance
    • Handles rewards program coordination and/or administration, relocation
    • services (domestic and international); immigration services and HR related training.
    • Performs other duties as assigned

 

            US-Wide

  • General HR
    • Provides general support for HR project work across the US offices as needed under the supervision of various Assistant Directors and Directors

 









Qualifications






Education/Training/Certifications:

  • Bachelor’s degree in a related field. Academic studies in HR a strong plus.  An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job

 

Professional Experience: 

  • Two years of previous generalist Human Resources experience preferred

 

Technical Skills: 

  • Requires broad knowledge of HR and/or law firm recruitment procedures
  • Proficiency in Microsoft Office products, required
  • Knowledge of HRIS database packages required, PeopleSoft experience, Applicant tracking tools, preferred
  • Knowledge of local California labor requirements required

  • Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
  • Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
  • Ability to work under pressure, meet deadlines with shifting priorities
  • Must be a self-starter with a high level of initiative
  • Strong customer service skills, able to anticipate needs
  • Strong attention to detail, organizational skills and the ability to handle multiple projects

  • Exercises solid strategic thinking and problem-solving skills

 

Physical Requirements:

  • May require occasional lifting of up to 20 lbs.

 

The typical pay scale for this position is between $75,500 and $86,800, although the actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
