This position may be filled remotely, or in any of our locations.
The Lateral Integration Administrator leads the intake process of clients and matters associated with the onboarding of lateral attorneys. This includes comprehensive oversight of planning for portable matters to align with HB’s client and data strategies, while providing excellent client service.
This position will have a close working relationship with incoming attorneys who bring portable matters with them, ensuring a smooth transition for the attorney, the firm, and the client. This position will work closely with internal teams including the legal leadership team, legal recruiting, conflicts, business intake, information governance, and people onboarding, to ensure all components of lateral business are properly vetted, managed, and communicated. The Lateral Integration Administrator reports to the Director of Integration. 0.Essential functions include:
- Orchestrates preboarding efforts for incoming lateral attorneys who will bring clients and/or matters upon joining the firm. This includes determining whether portable clients/matters exist and prioritizing those matters for consideration.
- Conducts regular communication with incoming attorneys to ensure all details have been provided related to the conflicts process, discuss progress of transition letters, transfer authorization letters, engagement letters, etc. Serves as primary point of contact for lateral attorney.
- Communicates with incoming attorneys to determine lateral client details including rate agreements, outside counsel guidelines, waivers, and other contract specifications.
- Provides clarity and expectations around engagement letter language for client transfers.
- Collects legal support needs of lateral hire to align with assigned skillset upon arrival.
- Provides overview of financial support, including billing and collections teams, and introduces applicable team members to discuss proforma process and billing support.
- Connects internal HB teams with applicable contacts at releasing firm of lateral attorney to ensure compliant and thorough transfer of data.
- Communicates status updates for all client/matters to the internal lateral client group, including routing data to necessary teams.
- Involves applicable internal teams who may need to be aware of lateral client data based on specific practice areas or industry.
- Leads and implements meetings with internal lateral client group, providing a platform for shared communication and updates with all relevant teams.
- Define and communicate various roles and responsibilities within the internal lateral client group to ensure all details are considered and processed.
- Ownership of shared data and workflow to result in seamless experience for lateral attorney and clients.
- Serve as partner to legal leadership teams to provide status updates, share best practices, develop workflows, etc.
- Collaborates with other administrative departments to create environment of partnership related to lateral client intake.
- Communicates status updates to Director of Integration to identify opportunities for integration planning upon the lateral attorney joining the firm.
- Maintain a thorough knowledge of the overall lateral attorney hiring process.
- Develop and share regular executive summaries for firm leadership regarding trends, successes, areas for improvement, and other notable information related to lateral client onboarding.
- Assist Director of Integration with special projects as needed.
- Other duties as assigned.
POSITION REQUIREMENTS
- 4âyear degree with major coursework in Human Resources or related field; or combination of education and commensurate work experience required.
- 5 years’ work experience with a focus on onboarding, integration or employee experience, preferably in a legal or professional services environment.
- Experience in a law firm with multiple locations required.
- Thorough knowledge of lateral attorney hiring process including portable matters/clients trends and best practices.
- Project management and report writing, experience preferred.
- Demonstrated advanced knowledge of Microsoft Teams, Word, PPT, and Excel; knowledge of all MS Office products strongly preferred.
- Ability to become proficient in the Firm’s Document Management System.
- Excellent communication skills, both written and spoken and ability to establish credibility, build trust, and develop positive working relationships with team members, firm leadership, lawyers, and other professionals.
- Demonstrated ability to maintain a high degree of confidentiality, discretion, and composure in stressful situations.
- Ability to organize and prioritize multiple projects in a dynamic and complex environment, meeting deadlines and successfully managing the daily workload.
- Proven success in creating clarity and consistency in a fast-paced, service-oriented environment.
- Exceptional judgment, flexibility, and professionalism.
- Demonstrated ability to serve as a change agent and effectively drive new initiatives in partnership with other firm departments.
- Ability to work after hours, as needed.

COMPENSATION AND BENEFITS
Employees are entitled to compensation commensurate with skill and experience. The exact compensation will vary based on skills, experience, location, and other factors permitted by law. The expected compensation ranges for this position in various states and jurisdictions are as follows:
- State of California: $94,000 - $180,000
- State of Colorado: $87,000 - $155,000
- Jersey City, NJ: $102,000 - $186,000
- State of Maryland: $91,000 - $138,000
- State of Massachusetts: $94,000 - $180,000
- State of Minnesota: $111,000 - $156,000
- State of New York: $88,000 - $190,000
- State of Washington: $91,000 - $173,000
- Washington, D.C.: $122,000 -$179,000
The above salaries do not include a discretionary bonus, however bonus opportunities are non-guaranteed, and are dependent upon individual and firm performance.
