Legal Administrative Assistant Job Details:

Snell & Wilmer is seeking a highly organized and detail-oriented Legal Administrative Assistant to provide administrative and legal support to our Phoenix Office Zoning and Land Use Practice Group. The successful candidate will assist attorneys and urban planners in managing projects, coordinating with stakeholders, and maintaining documentation. This role requires strong multitasking skills, familiarity with real estate and zoning processes, and a proactive approach to anticipating team needs.

The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m. in the office.

Responsibilities will include, but are not limited to the following:

  • Administrative Support:
    • Schedule meetings, appointments, and travel arrangements for attorneys and planners.
    • Prepare correspondence, emails, and other communications with stakeholders, including city officials and government representatives.
    • Manage legal files, ensuring all documents are up-to-date and organized.
  • Document Management:
    • Draft, proofread, and edit real estate legal documents with high attention to detail.
    • Assist in the preparation and submission of zoning compliance and building permit applications.
    • Track submissions and maintain accurate records of rezoning, variance, and appeal applications.
  • Coordination and Communication:
    • Act as a liaison between attorneys, urban planners, and external stakeholders, including city and government officials.
    • Coordinate meetings and facilitate communication with appointed and elected officials.
    • Monitor deadlines and project milestones to ensure timely delivery of materials.
  • Project Assistance:
    • Compile and organize submissions for city and government Planning Departments.
    • Support attorneys and planners in preparing for hearings, presentations, and client meetings.
    • Anticipate the needs of team members and proactively address potential issues.

 

Experience and Qualifications:

  • Minimum 3 years of experience as a legal administrative assistant, preferably in real estate, zoning, or business transactions.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong understanding of legal procedures, terminology, and real estate processes.
  • Exceptional proofreading, editing, and communication skills.
  • Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.
  • Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • High level of discretion and confidentiality.
