Our busy legal practice needs efficient and organized legal assistants to support our attorneys and paralegals in assisting clients and ensuring smooth operations.

 

Responsibilities include preparing legal documents, managing office correspondence, scheduling meetings and travel, and keeping track of deadlines.   • Interactions: Engage professionally with clients, counsel, mediators, clerks, courts, experts, and other parties through phone, email, and in-person communications, fostering both professional and cordial relationships.
  • Court and Administrative Liaison: Serve as the primary contact for the firm with courts and administrative agencies concerning hearings, motions, and appearances. Manage all administrative and scheduling matters related to the family law practice area.
  • Calendar Management: Oversee and maintain calendars for the legal practice area by scheduling appointments, tracking tasks and deadlines, and ensuring accurate and organized calendar management for the firm and team. Address and resolve any scheduling conflicts promptly.
  • Client Communication: Proactively contact clients prior to scheduled events to provide necessary details, including video conferencing links, phone numbers, and location directions.
  • Preparation and Documentation: Ensure that attorneys have all required materials prepared for meetings or court appearances. Maintain and update the case management system by entering data, saving and sharing documents, organizing files, applying workflows, and tracking deadlines. Document case developments and manage correspondence, voicemails, and emails related to case matters.
  • Mail and Document Management: Review incoming mail, verify accurate entry of events and tasks into the case management system, and handle outgoing mail. Prepare, proofread, and finalize legal documents and correspondence as directed by attorneys.
  • Case Evidence and Organization: Request, track, obtain, and organize evidence for case matters. Make copies, scans, and prepare binders as needed.
  • Case Progress and Communication: Monitor case progress, deadlines, and key milestones. Conduct monthly meetings with attorneys to review case status and provide timely updates to clients.
  • Meeting Attendance and Support: Attend case status meetings, trial preparation meetings, and any other meetings as requested by attorneys. Enter time and billing data daily for work completed and perform backup receptionist duties as needed.
  • Miscellaneous: Complete all other tasks as assigned by attorneys and paralegals. Ensure all court-ordered deadlines are met.
  • A high school diploma is required for the Legal Assistant position at Klie Law Offices in Clarksburg and Morgantown, WV, US, though advanced training from a college or university is preferred.
  • Previous experience in a law firm is necessary, but experience as a file clerk, receptionist, or office assistant may also be considered.
  • Proficiency in MS Office applications is essential for this role.
  • Strong organizational and communication skills are crucial for success as a Legal Assistant.
