Position Summary:


We are seeking an experienced Litigation Legal Assistant to provide a wide range of legal administrative tasks, from difficult to complex.  Responsibilities include the organization, prioritization, and coordination of a moderate to high volume of administrative and legal work, including confidential information.  Duties include exceptional customer service; administrative and legal support to attorneys, clients, and other stakeholders; creating, typing, editing, and proofreading various documents; creating and maintaining filing systems; scheduling meetings, maintaining calendars and arranging travel; coordinating and monitoring case or matter preparation; auditing or reconciling billing entries and expense invoices; and managing workload required to complete projects.  Duties will vary by department or practice team.


This full-time, non-exempt position reports to the Office Administrator in our Portland office.  Schedule is Monday – Friday, 8:30 a.m. to 5 p.m. Overtime may be required during periods of high demand. This position may be performed through a hybrid remote/on-site schedule.

Responsibilities:

  • Work closely with other administrative team members in a supporting capacity

  • Proactively maintain overview of attorneys' workload; anticipate next steps and implement follow-up procedures to ensure tasks are completed

  • Maintain attorney calendars; establish and facilitate deadline reminder systems

  • Coordinate client and administrative meetings and appointments for attorneys, including conference room scheduling, preparation of materials, and arrangements with service providers

  • Receive clients and visitors; maintain good relations with clients; observe confidentiality of attorney-client relationship

  • Create, edit, revise, redline, and/or proofread correspondence, memoranda, and other documents from dictation, written, and/or electronic copy

  • Receive, screen, route, and initiate telephone calls; transcribe voicemail and/or take accurate messages; arrange conference calls

  • Process and route incoming mail and electronic communication promptly; prepare outgoing mail for delivery

  • File paper and electronic documents with appropriate courts and agencies; ensure proper filing procedures are followed and deadlines are met

  • Coordinate with Docketing to ensure accuracy of dates and compliance with Firm docketing requirements

  • Coordinate conflicts checks; prepare new business intake forms and engagement letters; open new files

  • Maintain administrative and client files; filing electronic and/or paper documents and information promptly and accurately

  • Update and release attorney time entries; review and edit client bills

  • Coordinate domestic and international travel arrangements for attorneys, including hotel, air, and other transportation plans

  • Prepare finance-related documents as required, including check requests, expense reports, and trust documents

  • Operate standard office equipment to perform copying, scanning, and faxing

  • Participate in Department or Firm-wide projects:

    • Support Continuous Process Improvement (CPI) activities

    • Participate in projects as requested

    • Provide legal assistant support to other attorneys on intermittent or temporary basis as needed




Minimum Requirements:

  • High school diploma or equivalent

  • Minimum of five (5) years of relevant law firm, court, or regulatory agency experience

  • Minimum of five (5) years of experience performing progressively more responsible similar/equivalent work, to include:

    • At least five (5) years of experience utilizing computer systems in daily work

    • Experience utilizing file management and database concepts

    • Demonstrated competency in high level of attention to detail




Required Knowledge, Skills, and Abilities



  • Advanced knowledge of legal terminology and procedures

  • Advanced knowledge of litigation processes

  • Advanced knowledge of Court Rules and Systems

  • Advanced knowledge of software applications, and proficiency using MS Office (Outlook, Word, Excel), Adobe Acrobat Pro (navigating and editing), and document comparison software

  • Ability to accurately type a minimum of 80 wpm

  • Strong command of the English language, including excellent spelling, grammar, and punctuation

  • Strong interpersonal, relationship-building, and customer service skills with ability to establish and maintain effective working relationships with peers, attorneys, clients, vendors, and other parties

  • Assertive communication (verbal and written) skills and the ability to build rapport with different personality types

  • Excellent problem-solving and organizational skills with attention to detail

  • Ability to ask clear, concise questions that will facilitate effective problem resolution of issues

  • Ability to effectively prioritize and complete multiple tasks and meet deadlines

  • Ability to maintain confidentiality of all information

  • Ability to handle a variety of tasks concurrently to meet attorney/client demands

  • Ability to perform a variety of tasks, often changing assignments on short notice

  • Ability to manage a varied workload in a timely manner and with courtesy and tact

  • Ability to work independently and as a team member


Hours / Schedule / Location:



  • 37.5 hours per week / Monday through Friday 8:30 AM – 5:00 PM / Portland office

  • This is a full-time, non-exempt position that requires regular and predictable attendance

  • Infrequent travel may be required for cross-office projects

  • This position reports directly to the Office Administrator

  • This position may require both remote and on-site work. The employee will need to have internet access and a space to work; Lane Powell will provide a laptop and all necessary technology.


Salary Range:



  • $63,000 annually to $85,000 Annually


Other Compensation:



  • Other compensation may include bonuses, profit sharing, HSA employer contributions, prizes, and gifts
