KEY CONTRIBUTIONS



  • Prepare, edit, and proof all estate planning and probate documents, deeds, contracts, agreements, memos, reports, correspondence and other similar documents

  • Perform complex administrative duties requiring knowledge of legal terminology and legal processes

  • Prepare signature pages, binders, filings, and summaries

  • Schedule and coordinate logistics for meetings, travel and closings

  • Maintain calendars including deadlines

  • Enter billable time and edit time and pre-bills as needed

  • Process expense reimbursements

  • Answer incoming calls; prepare documents for shipment; and distribute mail

  • Open and maintain client files and organizational documents

  • Respond to inquiries for information

  • E-file documents through the Florida Courts E-Filing Portal

  • Record deeds and other documents through Simplifile

  • Other responsibilities as needed


 THE ESSENTIALS



  • At least two years of experience as a legal secretary/assistant in a law firm or corporate legal department environment is preferred, but not required

  • Probate, trust and estate experience is preferred, but not required

  • Associate's degree or equivalent combination of education, training and experience

  • Proficient with Microsoft Word and ability to type 50 wpm

  • Highly organized, detail-orientated, proactive with a desire to take ownership as a contributing member of the team

  • Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations

  • Strong verbal and written communication skills

  • Some overtime may be required
