MARKETING EVENT SUPERVISOR


JOB DESCRIPTION The Event Supervisor role is an integral part of Singleton Schreiber's Marketing team. The Event Supervisor will be responsible for orchestrating all aspects of each firm marketing event, ensuring its smooth execution from conception to completion. The responsibilities encompass a wide range of tasks such as logistical planning, budgeting, venue selection, vendor coordination, and on-site management, as well as supervising details for virtual events PPT and presentation materials, Zoom/GoToMeeting coordination, virtual hosting, etc. The supervisor will collaborate with attorneys, staff, and clients to create and tailor the events that meet the needs, vision and objectives of the firm, business development, and client servicing goals.


In addition to events, the Marketing Event Supervisor will also be responsible for supporting the Marketing Departments efforts, goals, and objectives throughout the year. The ideal candidate shows flexibility, strong communication skills, meticulous attention to detail, and the ability to multitask, as these characteristics are essential for this role.




SALARY AND BENEFITS:


$85,000-$100,000 annually


Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.

JOB DUTIES AND RESPONSIBILITIES:



  • Manages a comprehensive list of upcoming events for general firm marketing, as well as specific regional locations and specific practice groups.

  • Spearheads and organizes all event registration processes, including managing attendee lists, RSVPs, and ensuring travel logistics are arranged for each attendee (via EA communication).

  • Strategically coordinates event logistics, including venues research, travel arrangements, sourcing vendors (catering, equipment rental, etc.) and contract negotiation/review.

  • Manages and coordinates all Firm Town Hall Events, both virtual and in-person, which includes scheduling, hosting, press coordination, firm and client communication, and more.

  • Collaborates and oversees details for event promotion (flyers, invitations, advertisements), registration and attendee management, and attendee inquiries.

  • Leads efforts on virtual events, webinars, and virtual branding efforts, this includes sponsorships, registrations, presentations, and logistical details for firm presentation and needs.

  • Manages the Sponsorship and Exhibitor Process for any upcoming event or trade association. Ensuring all ad assets, registration, and payments are secured.

  • Facilitates and strategizes with CMO/Senior Marketing Manager/Attorneys regarding target trade associations/organizations and/or managing speaking engagements, calendar/timelines, and presentation opportunities.

  • Serves as the point of contact (when feasible) for event or will communicate accordingly with the appropriate participants/attendees. This role will be responsible for resolving any issues that may arise to ensure the event runs seamlessly.

  • Supervises staff and/or volunteers for direct setup/teardown and manages emergencies with poise and efficiency.

  • Conducts post-event audits and evaluations to assess event's success, will gather feedback for future improvements to report to Marketing Department.

  • Works with closely with the Marketing Manager to ensure budgeting and costs align with the firm's objectives and Accounting Department's reporting.

  • Assists in sourcing and vendor management for marketing materials, services, and company-branded swag/promotional materials. This includes customized gift options for client or employee appreciation gestures.

  • Collaborates and manages the annual referral gifting for firm, including recipient list, information management, and service sourcing.




QUALIFICATIONS AND REQUIREMENTS:



  • 3-5 years of experience in legal marketing and event management.

  • 4-year college degree

  • Ability to work in our San Diego office with a hybrid work schedule.
