Job Title: Payroll Coordinator

Reports to: Chief Financial Officer

Level: Entry/Union/Full-Time

Salary:

Location: 69 W Washington

Bureau: Administrative Services

Primary Function: Completes all aspects of payroll for the State�s Attorney�s Office.

Working Environment: Hours: Monday � Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Prepare and input employee information (new hires, promotions, resignations, and interagency transfers) into payroll software-CCT, Oracle (EBS), and SAO Human Resource database.
  • Maintain employee records and complete verifications of employment.
  • Input necessary payroll information into the Cook County payroll system, biweekly, to ensure the processing of SAO employee payroll.
  • Review and verify employee timesheets as it relates to the processing of payroll.
  • Record, verify, and reconcile payroll-related information, as well as bi-weekly verification of employee direct deposit information.
  • Maintain employee changes as they relate to the Collective Bargaining Agreements.
  • Work closely with the Director of Human Resources and the Director of Finance regarding payroll matters.
  • Complete necessary documentation to be submitted to the Cook County Pension Board, regarding employee retirements, disability, and duty disability.
  • Assist employees with various payroll related matters.
  • Maintain guidelines, enhancements and staff trainings as they relate to the CC Time system.
  • Enter exception reports as it relates to CC Time.
  • Work closely with the various partner agencies.
  • Enter leave of absence information as it relates to timekeeping matters.
  • Work closely with the HR Team member regarding leaves of absence.
  • Regular access to confidential information.
  • Perform other duties as assigned.

Qualifications:

Required:

  • The candidate must have excellent communication skills both oral and written.
  • The candidate must have the ability to multi-task and work in a fast-paced environment.
  • Working knowledge of EBS, ESS systems
  • Proficiency in Microsoft Word applications.
  • Proficiency in SharePoint.
  • At least 2 years� experience in payroll, administrative, or related field.

Preferred:

  • Bachelor�s degree in Finance, Accounting, Business Administration, or related field.
