The Practice Coordinator will work closely with the Practice Director, Practice Manager(s) and other administrative departments (e.g. Business Development, Information Technology, Human Resources, Professional Development, etc.) to provide essential administrative and operational guidance and support to the Transactional Department. The Practice Coordinator will play an active role in coordinating and executing strategic solutions to help advance the business goals of the Department and Practice Groups, with an emphasis on supporting the Funds Practice Team.
ESSENTIAL JOB FUNCTIONS
Collaborate with attorneys and various administrative departments to define, evaluate and implement appropriate knowledge and experience management systems and client dashboards, and leverage reporting and data management tools to monitor progress and compliance on the same.
Assist in the preparation, maintenance and retention of Funds Practice Team-related documents including correspondence, document checklists, task codes, and closing binders, while implementing document preparation styles and consistent nomenclature to ensure standardization and develop searchable databases across the practices.
Coordinate maintenance of representative engagement lists including tracking new clients and monitoring client progress for marketing materials.
Review and develop monthly financial reports on utilization, inventory, alternative fee arrangements, budgets, and other KPIs to ensure optimal practice performance.
Partner with administrative departments to coordinate initiatives and support business strategy for the Department and Practice Groups.
Coordinate the development and implementation of annual business plans and budgets and assist with Practice Group expense management.
Assist in coordinating, planning, and driving follow up support for Department and Practice Group meetings and retreats including preparing and communicating agendas and materials, facilitating discussions, and developing and executing on action items.
Support the Practice Director and Practice Manager(s) in managing other administrative tasks and special projects, including coordinating team dashboards and monitoring deadlines, on behalf of the Department and Practice Groups as requested.
QUALIFICATIONS & REQUIREMENTS
Ability to exercise sound independent judgment, tact and discretion involving sensitive and confidential matters.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, even when under pressure.
Ability to clearly and effectively communicate, in oral and written form, with people at all levels within the Firm.
Awareness and understanding of business and improvement processes and developing and implementing best practices.
Ability to work independently as well as on a team, with minimal supervision, and collaborate effectively across administrative departments and sections in all offices.
Exhibits a “servant leadership” mindset with the ability to build and maintain strong relationships and gain the trust of the attorneys and other administrative staff members.
In-depth understanding of Microsoft Office suite is preferred, with an ability to quickly learn and utilize additional software solutions.
Demonstrates flexibility, initiative and a positive attitude.
Excellent grammar, punctuation and proofreading skills and the ability to prepare clear, accurate reports and correspondence.
Self-starter who is comfortable juggling multiple tasks
EDUCATION AND/OR EXPERIENCE:
Bachelor’s degree required.
Minimum of one (1) year of professional experience in an administrative or program support capacity.
