DUTIES:


Scheduling and Calendar



  • Contact clients for scheduling appointments to meet attorneys/paralegals.

  • Maintain attorney calendars.

  • Schedule various conference calls, Zoom meetings, and in-person meetings.

  • Schedule and set up occasional business travel for attorneys.


Documentation and Review



  • Review all attorney bills and assist in finalizing bills to the client and follow up on payment.

  • Provide document copies to clients as needed.

  • Opens, screens incoming mail, and saves incoming mail in Filesite before it is distributed to the attorney.

  • Prepares and tracks documents for mailing, including certified mail, Federal Express, and courier.

  • Prepares draft retainers for finalization by attorney or paralegal.


Communication and Clerical



  • Screens incoming calls, clients and visitors.

  • Maintains files and all other general administrative tasks, including opening and closing of same, including completion of File Data Sheet with detailed information on the matter with the parties to the action and lists contacts in Interaction to the closing of the file with conflicts.

  • Retrieves files when requested.

  • Prepares attorney expense reports on a monthly basis using Chrome River.

  • Opens Real Estate files with both the Firm and Title Company in SoftPro software, orders Lien and Title Searches, and sends out Welcome Letters to Buyers and Sellers.

  • Communicates with Buyers, Sellers, Title Companies, Realtors and Vendors and provides excellent customer service to same.

  • Prepares closing binders on complex Commercial Real Estate closings.

  • Occasional research using Property Appraiser’s and Clerk of Court’s websites throughout Florida.


Any and all other duties as may be required of the job.


REQUIREMENTS: The Legal Assistant should possess strong interpersonal skills and have the capability to interact and interface with clients directly. The Legal Assistant shall possess a minimum of two years of real estate experience as an Assistant in a law firm or corporate legal department environment. Requires excellent clerical skills and knowledge of grammar, spelling, and punctuation. Must be very organized, a self-starter, and able to prioritize in a fast-paced environment. Working knowledge of Real Estate, Legal terminology, and Microsoft Office Suite is desirable.
