Speaks Law Firm is growing! We are looking for a Reception Agent in our Wilmington office. The right candidate will display the following attributes.
- excellent interpersonal communication skills: enthusiastic and engage with clients and guests.
- take initiative with all aspects of work performed during down time or to assist during busy times, with the ability to move from task to task to ensure they get completed correctly.
- have the technical ability to operate a multi-line telephone system, sort mail, schedule meetings through Outlook, and send faxes. Microsoft Office experience is a must.
- be a reliable team member for this in-office role.
Routine Responsibilities

- Answer all incoming calls in a professional manner, assist callers with information, and forward calls to the appropriate contact.
- Ensure accurate and detailed messages are forwarded in a timely fashion to the appropriate contact.
- Welcome clients and visitors upon arrival at reception.
- Schedule and confirm appointments.
- Maintain office calendars for availability.
- Direct the flow of mail, faxes, and deliveries to reach the intended recipients in a timely fashion.
- Use postage meter to send certified mail and UPS/FedEx.
- Maintain a neat, tidy, and orderly front desk and lobby area.
- Ensure all public areas of the office are professionally presentable.
- Assist with copying, scanning, faxing, emailing, or note-taking as needed.
- Coordinate between other staff and clients for tasks like notary.
- Coordinate with clients to ensure proper execution of all checks and releases.
- Ability to multitask and prioritize tasks for execution in a timely fashion.
Required Education and Experience:
- High School Diploma or GED
- Two years of customer service or reception experience
Preferred Education and Experience:
- Associate's degree or higher
- Three years of customer service or reception experience
- Bilingual in Spanish (not required)
- Law Firm experience preferable
- Notary Public
Compensation
$14 - $18 hourly
