The Regional Hospitality and Conference Services Manager is responsible for managing office event planning, creative development, catering, and execution of all on-site meetings and events. This role works closely with the Regional Office Administrator to provide guidance and direction to local conference service teams within the region (Washington, DC, Chicago, Detroit and Pittsburgh) as it relates to meetings and events. Manages hospitality procedures, best practices, and service standards to ensure the seamless operation of all conference-related activities. Ensures all clients and visitors are met with the highest level of service, reflecting the firm’s commitment to excellence and attention to detail, creating an environment that is welcoming and conducive to productive interactions.

Essential Duties and Responsibilities: 

  • Oversees logistical planning and execution of all meetings and on-site events; support the Regional Office Administrator with coordinating and implementing office engagement related initiatives.

  • Supervises relevant outsourced functions, including conference room set-up and post-conference clean-up as well as catering duties.

  • Assist multiple sites as needed with a variety of event types and needs, ensuring effective budget management while also providing high-quality experiences to meet internal and external client expectations.

  • Anticipates problems and barriers to hosting successful meetings and events and make recommendations for solutions.

  • Ensures successful management and administration of in-office event budgets, monthly invoices and timely reconciliations via Chrome River.

  • Consults with customers to determine objectives and requirements for events and meetings. Maintains a strong working relationship with clients and vendors.

  • Maintains awareness of current trends in event management and integrates into the operation in a timely manner Reviews effectiveness of event operations and makes appropriate adjustments.

  • Supervises assigned Reception team(s), including interviewing, hiring, training, and developing team members.


Knowledge, Skills, and Abilities:

  • Strong understanding of various software systems applicable to the Hospitality function.

  • Excellent analytical and ability to anticipate issues and develop contingency plans.

  • Excellent interpersonal skills and the ability to work and communicate effectively with all levels of law firm personnel, including partners and administrative managers.

  • Excellent management, leadership, organizational and communication skills.

  • Ability to analyze complex problems and recommend and/or implement solutions.

  • Ability to multi-task, meet deadlines and shift priorities quickly.

  • Ability to excel in a fast-paced environment.

  • Must be able to regularly lift and/or move up to 10 lbs., frequently lift and/or move up to 25 lbs.


Education and/or Experience: 

  • Bachelor’s degree in Hospitality Management; or any equivalent combination of training, education, and experience that demonstrates the ability to perform the duties of the position.

  • Minimum of seven (7) years’ experience in Catering and Conference Services in large, up-scale, high volume environment.

  • Minimum of two (2) years of supervisory experience in a hospitality position.

  • Meeting and Room Scheduling software experience a plus.

Hiring Salary Range:

$90,000.00 - $110,000.00
