Description:

The Request for Proposals (RFP) Assistant will assist with major firmwide business development efforts by supporting the RFP Team in the development, delivery and tracking of the firm’s prospect and client proposals for new business. The RFP Assistant is responsible for researching new opportunities online; preparing first-draft documents; preparing forms for submission; submitting completed responses and tracking deadlines, responses and results. The RFP Assistant will maintain clear and current records in the firm’s proposals database.

Key Responsibilities Include:

  • Assist the RFP Team in preparing responses to requests for proposals in a detailed, thorough, and timely manner.
  • Thoroughly review incoming requests for proposals and provide summaries of requirements.
  • Initiate proposal projects by setting up first drafts of response documents.
  • Provide content, with direction.
  • Prepare required forms, with direction.
  • Attend pre-submission Q & A meetings from RFP issuers.
  • Revise response documents as needed in a deadline-driven environment.
  • Proofread proposals and content.
  • Oversee proper production and delivery of the final documents.
  • Track deadlines, final submissions and results.
  • Maintain the tracking system for proposals, including collecting and filing final versions of responses in a timely manner.
  • Assist in reporting processes.
  • Alert Manager/Coordinator if technical issues arise re: RFP / Proposal system, shipping difficulties or submission web portal errors.
  • Gain strong knowledge of content and submitted proposals and be able to locate specific documents quickly upon request.
  • Assist the RFP Team in compiling and maintaining a working content library and database of information about the firm to be used in the preparation of proposals including: Biographies, Practice descriptions, Executive summaries, Transaction lists, matter descriptions and case studies., Other firmwide information (diversity statistics, insurance information, etc.)
  • Special projects and additional duties as assigned.

Qualifications:

  • 2 - 4 years of experience, preferably in the professional services sector.
  • Highly focused and results driven with the ability to work under pressure.
  • Strong attention to detail and grammar with exceptional proof-reading skills.
  • Excellent project management and organizational skills.
  • Exceptional client-service orientation and interpersonal skills.
  • Collaborative, resourceful and proactive.
  • Ability to work independently and in a team environment.
  • Computer savvy and highly proficient with Microsoft Office suite.
  • Experience with proposal content and client relationship management (CRM) systems as plus.

Minimum Education:

Bachelor's Degree – Journalism, Communications, or English preferred.

This position may be filled in the District of Columbia and New York. In accordance with the District of Columbia Wage Transparency Law, New York State Pay Transparency Law, and New York City Human Rights Law, the pay range for this position in the District of Columbia is $28.50/hr - $42.70/hr, in New York State is $24.80/hr - $44.60/hr, and in New York City is $29.80/hr - $44.60/hr. These ranges are specific to these locations and may not be applicable to other locations.  An individual's actual compensation will depend on the individual's qualifications and experience.
