This position may be filled in a hybrid capacity in our Phoenix, AZ office.  

The Regional Office Administrator is responsible for leading the application of Firm policies and procedures in their assigned offices in the areas of Financial Management; Human Resource Management; Systems Management; Practice Management; Marketing and the Firms Strategic Plans.  The ROA works closely with Managing Partners to ensure the offices objectives are met and interacts frequently with the Regional Director of Office Administration to assure any issues that arise in the office are handled promptly and appropriately. They recruit, supervise, and oversee the professional development of non-timekeeper, direct reports. The ROA works with all Firm Administrative Department heads to ensure the smooth operation of the office. This position will oversee our two Phoenix, AZ offices. Essential job functions include:

Human Resource Management

  • Recruit and select direct report, non-timekeeper support staff and managers.
  • Participate as needed in selection of non-timekeeper support staff who are in responsible offices but managed by a manger in another location.
  • Provide dotted line supervision for some onsite staff including, The Administrative Resource Team, Practice Support Teams others as needed.
  • Supervise direct reports.
  • Provide education and communication of firm initiatives to all personnel in responsible offices and monitor adherence to all Firm policies and procedures.
  • Assist in providing new hire orientation.
  • Facilitate and participate in the performance evaluation process for applicable support staff and managers.
  • Assist with salary administration for support staff.
  • Provide motivation, counseling, and discipline for support staff, and, when necessary, participate in terminating support staff personnel.
  • Responsible for the professional development of applicable staff and managers.
  • Assist with benefits administration.
  • Monitor/manage WC claims, FMLA claims, etc.
  • Plan staff/attorney events.
  • Maintain time and attendance records for direct reports.
  • Determine job design and resource allocation for direct reports.
  • Make recommendations with regard to personnel policies and benefits.
  • Keep firm-wide Regional Director of Office Administration and HR apprised of office personnel issues.
  • Collaborates and communicate with department managers regarding staff issues, when necessary.

Collaboration with Office Managing Partners

  • Assist OMPs with annual OMPs budget projections.
  • Monitor the OMP budgets.
  • Assist OMPs with managing sponsorships, and client development activities.
  • Plan and manage office wide Esprit de corps events.
  • Manage local sporting/event tickets.
  • Assist OMPs with local DE&I initiatives.
  • Coordinates with the Marketing and Client Development Department to maximize opportunities, enhance the Firm’s visibility and image.
  • Prepare agenda and attend monthly partner, staff and all office meetings.
  • Manages office moves and office assignments. 

Financial Management

  • Prepare and be accountable for portions of the annual budget for the office, including monthly tracking of expenditures.
  • Review, approve and submit all office vendor invoices.
  • Sign office checks for emergency expenditures and prepare periodic reimbursement requests and deposits.

Systems Management

  • Coordinate with the IT Department on the efficient operation of the computer systems, telephone and cost recovery equipment.

Practice Support

  • Help manage new timekeeper onboarding.
  • Participate in new timekeeper orientation.
  • Provide customer service support to help new attorneys acclimate to HB.

Special Projects

  • Work with Regional Directors of Office Administration on projects that support the firm’s strategic plans around Expansion, Growth, Leadership, Culture and DE&I.
  • Serve on committees as needed.
  • Provide leadership to local managers.

 

Position Requirements

  • 4‐year degree with major coursework in administration or management, finance, human resources, technology or marketing; or combination of education and commensurate work experience required.
  • 5 years’ management experience in related field required, preferably in a professional services environment.
  • Experience managing business operations such as human resources, technology, facilities, finance and marketing.
  • Exceptional technical skills to lead a completely remote team that relies on technical efficiency.
  • Excellent interpersonal, supervisory, and leadership skills.
  • Excellent training and presentation skills.
  • Excellent analytical skills.
  • Excellent verbal and written communication skills required.
  • Ability to identify and analyze complex issues and problems in personnel and management areas and recommend and implement solutions.
  • Ability to manage office functions economically and efficiently, organize work, establish priorities and maintain good interpersonal relations and communications with attorneys and staff.
  • High level of confidence and the ability to build trust with key stakeholders.
